About the Role
We’re looking for a highly organised and proactive Executive Assistant & Governance Specialist
to join the Technology team of this large infrastructure business. This hybrid role is ideal for an experienced Executive Assistant or team coordinator who enjoys working across a variety of responsibilities—from providing high-level executive and team support to coordinating risk, audit, workforce, and project governance functions.
This position is perfect for someone who thrives in a structured, fast-paced environment and enjoys working with senior leaders while making a real impact through efficient systems, clear communication, and proactive problem solving.
This role is being offered on a 2-year fixed term contract.
Key Responsibilities
- Provide high-level executive assistance to senior leaders including diary management, meeting coordination, and preparation of briefing materials
- Organise and support key leadership meetings, including agendas, minutes, action tracking, and follow-ups
- Act as a central contact point across the team, facilitating internal communications and information flow
- Coordinate onboarding and first day activities for new starters in the team
- Manage internal correspondence, document preparation and version control
- Support team engagement initiatives and events
- Track team deliverables and help ensure deadlines are met
- Coordinate end-to-end contractor recruitment in collaboration with panel partners
- Support the upkeep and application of the project delivery and governance framework
- Assist in reviewing project documentation and templates for currency and compliance
- Provide support for small-scale project coordination as needed
- Schedule and support project meetings, maintain action registers, and track key deliverables
- Coordinate risk management activities for team as the first line of defence
- Monitor and maintain risk registers, ensuring mitigation actions are current and documented
- Liaise with Enterprise Risk and Internal Audit teams to support internal and external audits
- Previous experience in an Executive Assistant, Team Coordinator or Business Support role
- Experience with governance or risk/audit functions and roles is desirable
- Strong organisational skills and ability to juggle multiple priorities
- Excellent written and verbal communication skills
- Comfortable working with senior stakeholders and handling sensitive information
- A keen eye for detail and a proactive, solutions-focused mindset
