Our client is a leading global real estate services and investment firm with a prestigious portfolio of premium commercial properties across Australia. They are seeking an experienced Executive Assistant to support their senior leadership team at their Sydney CBD office.
The Role
You will be providing comprehensive executive support to the President and additional assistance to three Senior Vice Presidents across Asset Management, Portfolio Management, and Human Resources. You'll be the right hand to senior leadership, managing complex diaries, coordinating travel, and ensuring seamless day-to-day operations.
Salary: $100,000 - $120,000 + super
Located: Sydney CBD - office based, NO WFH
Must have experience in a property firm or similar
Key Responsibilities
- Extensive diary and calendar management for multiple senior executives
- Coordinate domestic and international travel arrangements including visas
- Organise meetings, conferences, and events including all logistics and catering
- Prepare high-quality PowerPoint presentations, reports, and correspondence
- Process invoices and reconcile expenses using Coupa and Concur systems
- Provide secretarial support including minute-taking and document preparation
- Liaise with IT and HR for new starter onboarding and equipment requests
- Handle telephone queries and correspondence professionally
- Manage licence renewals and professional development coordination
- Support various company events and initiatives
About You
- Minimum of 3-5 years' experience as an Executive Assistant supporting senior management
- Positive attitude with flexibility to adapt to changing priorities
- Advanced proficiency in Microsoft Office Suite (PowerPoint, Word, Excel, Outlook)
- Exceptional organisational skills with keen attention to detail
- Professional communication skills across all organisational levels
- Discretion and ability to maintain strict confidentiality
- Proactive, takes initiative, and works independently
