Job Description

Dimensional Fund Advisors is looking to hire an experienced Administrative Assistant to support senior individuals within the Adviser, Enterprise and Client Relationship Group. This is an opportunity to work in a dynamic culture of collaboration and innovation as part of a global business. The scope of the role is varied including diary management, team meeting coordination, event support, travel coordination and management of marketing materials to support client requests. The is a 6-month contract role based in our Sydney office.

  • Provide high level administrative support 
  • Diary Management –coordinate and schedule meetings for the three Channel Heads both locally and internationally across multiple time zones.
  • Manage expense claims and process monthly credit card reports for all thirteen business development professionals.
  • Arrange logistics and liaise with the travel coordinator to ensure domestic/international business travel runs smoothly.
  • Coordinate and attend internal channel meetings, including management of agenda.
  • Assist with maintenance of inhouse electronic filing system (Confluence).
  • Provide reports and maintain data integrity of the Customer Relationship Management System.
  • Manage marketing materials -upkeep of in-house stock, assist with client requests and coordinate large-scale mail-outs.
  • Other ad hoc duties may include but are not limited to; word processing, record keeping, reports, filing and printing.
About you:
  • Proven experience supporting multiple individuals and teams with the ability to manage competing priorities.
  • Junior Candidate: 1-3 years of experience providing administrative support in a corporate environment, ideally working across multiple time zones and in a matrix environment.
  • A track record of driving continuous improvement.
  • Strong organizational skills, with the ability to multi-task and high attention to detail.
  • A team player who works well in a fast-paced environment.
  • Strong working knowledge of Microsoft Office suite.
  • Preferred but not required experience with SAP Concur
  • Expense management, ZOOM, Microsoft Dynamics CRM and an openness to learning new technologies.
