The Opportunity:

This leading, international law firm is looking for an experienced Executive Assistant to support a key member of the global leadership team and assist with a range of project initiatives. This is a crucial role supporting both the running of the global practice and their interaction with the broader global firm, and will assist with predominantly professional tasks with some intermittent personal tasks. The Partner is a leader in their field and is friendly, down to earth and professional who needs a proactive and self-motivated EA who can help organise their busy workload. This role will also have significant interaction with the leadership team, other partners in the firm, and various external boards, and will need to be able to professionally manage access to the Partner and proactively deal with any requests/issues that come up. This role will report remotely to the Practice Manager for the division and will also assist with/manage various projects related to the development and promotion of the practice internally and externally.
  
The role is based in the Sydney CBD in impressive offices and provides the opportunity to support a domestic and international leader in a global firm.
  
Duties will include:
  • Managing the Partner’s email, calendars, schedules, and meetings
  • Proactively manage the to do list and project work for the Partner
  • Organising and attending meetings, events and social functions, including quarterly and annual staff meetings
  • Organising and managing any correspondence
  • Managing files including opening, generating, maintaining and closing
  • Preparing relevant documentation and ensuring the Partner is prepared for meetings and events
  • Forecasting and managing budgets, expenses, billings and reporting
  • Management of travel, accommodation, conferences and couriers
  • Minute taking/administration for relevant leadership/partner meetings
  • Managing relationships with the local and international leadership teams
  
About you:
  • At least 4 years’ experience in an EA role supporting a senior leader
  • Experience in a legal/professional services environment supporting multiple senior level stakeholders is highly desirable
  • Experience supporting a stakeholder in a global organisation would be desirable
  • Strong technical proficiency with a typing speed of at least 50 WPM with 90% accuracy
  • Excellent relationship management skills with a proactive, positive and professional approach to customer service
  • Problem solver with the ability to adapt to changing situations quickly
  • Excellent time management skills and the ability to prioritise and work in a pressured environment
  • Self-motivated, resilient, confidential, with a drive to go above and beyond
  • Strong organisational skills and ability to plan and prioritise effectively
  • Excellent written and verbal communication skills
  • Professional and personable approach and ability to build strong and friendly working relationships
  • Comfortable working autonomously and within a local and global team
  • Ability to commercially understand and interact with the structure, strategy and processes of the firm to contribute to the overall success of the firm and the Managing Partner
