The Opportunity:

This leading, international law firm is looking for an experienced Legal Secretary to support a senior IP Partner and their team. This is a crucial role supporting a mixture of transactional and litigious work in a busy practice. At a high level the role will include drafting communications, formatting, billing management, reporting, diary, email and travel management, and general administration to support the work of the practice. The team is down to earth, responsive and fast paced and will suit someone who is proactive in seeking out work and problem solving issues.  
  
The role is based in the Sydney CBD in new, impressive offices and provides the opportunity to support a domestic and international leader in a global firm.
  
Duties will include:
  • Being the first point of contact for the team
  • Managing document creation and amendments
  • Managing all monthly billing and any associated time entry
  • Organising and managing any correspondence
  • Diary and email management
  • Assisting with client events and social functions
  • Managing files including opening, generating, maintaining and closing
  • Preparing relevant documentation and ensuring the Partner is prepared for meetings and events
  • Management of travel, accommodation, conferences and couriers

About you:
  • At least 3-5 years’ experience as a legal secretary
  • Experience in a legal/professional services environment, preferably in an IP team, supporting multiple senior level stakeholders is highly desirable
  • Strong technical proficiency with a typing speed of at least 50 WPM with 90% accuracy
  • Excellent relationship management skills with a proactive, positive and professional approach to customer service
  • Experience running billing for a busy legal team. SAP experience is a plus
  • Problem solver with the ability to adapt to changing situations quickly
  • Excellent time management skills and the ability to prioritise and work in a pressured environment
  • Self-motivated, resilient, confidential, with a drive to go above and beyond
  • Strong organisational skills and ability to plan and prioritise effectively
  • Excellent written and verbal communication skills
  • Professional and personable approach and ability to build strong and friendly working relationships
  • Comfortable working autonomously and within a local and global team
