Job Description

This client is a leading financial services and asset management business seeking an experienced receptionist and administration assistant to service the teams. 

As the first point of contact you must be immaculately presented and provide an exceptional level of service to clients visiting the Brisbane Head Office. A professional phone manner is key as you will be operating a large volume of calls. You must also posses a strong ability to multi task and work autonomously. 

Core Duties include:
  • General reception duties including welcoming guests, answering phones and attending to enquires 
  • Set up meeting rooms and organising catering 
  • Processing incoming and outgoing mail
  • Maintain the cleanliness of the meeting rooms and kitchen
  • Liaising with external building managers, cleaners, contractors and facility maintenance contacts 
  • Assist in First Aid duties and fire safety drills
  • Order stationary and stock for Brisbane and Regional Offices
  • General administration duties including processing documents, emailing and diary management
  • Organsing travel and accommodation arrangements for staff and executives
  • Reconcile corporate travel bookings on a monthly basis
Key requirements:
  • Certificate III or IV in Administration, or equivalent, will be highly regarded
  • Knowledge of MS Office Suite and Adobe
  • Exceptional client service skills, with ability to anticipate the needs of clients and advisers and respond appropriately
  • Able to plan, organize and prioritise work to meet deadlines and achieve team outcomes
  • Effective written and oral communication skills
  • Able to work methodically with accuracy and attention to detail
  • Able to work strongly in a team
