Our client is a well established and longstanding Not-for-profit business here in Brisbane, well known for their strong contribution and mission statement. Due to increased workload, they are now seeking a Council and Committee Coordinator for an initial 3-month temporary assignment.
The Role
The Council & Committee Coordinator is responsible for ensuing quality and timely distribution of Council and Committee agendas and papers, supports the effectiveness of the Council and Committees by ensuring that policy and procedures are followed.
Responsibilities include:
- Providing high-quality corporate governance support to key committees.
- Coordinating, preparing for, and attending all meetings.
- Drafting and maintaining annual calendars, ensuring quorum at meetings.
- Preparing Agenda documents and liaising with internal and external stakeholders.
- Recording, maintaining, and distributing meeting minutes, resolutions, and action items.
- Acting as a liaison between Council/Committee Chair, members, and Management.
- Maintaining records, documents, and member information.
- Participating in the development/coordination of member orientations and strategy workshops.
- Collaborating with various entities to harmonize corporate governance and implement best practices.
- Attending meetings outside the regular schedule and ensuring compliance with policy and procedures.
- Keeping records and registers for compliance purposes.
- Updating Council and Committee members' membership requirements.
- Ensuring proper documentation creation, storage, and archiving in line with quality assurance requirements.
- Assisting in monitoring compliance with organizational and legislative requirements.
- Governance or Legal qualifications will be considered favourably and prior working experience in a Legal Assistant/Secretary, Board Secretariat or Committee/Council Coordinator role
- Exceptional organisational skills and ability to manage multiple priorities with attention to detail.
- Strong communication skills, both written and verbal, with the ability to interact effectively with diverse stakeholders.
- Proficient in using productivity tools and software, such as MS Office Suite and board management platforms such as Diligent.
- Demonstrated professionalism and ability to maintain confidentiality.
- Strong ethical values and a genuine commitment to the mission and values of the organisation.
