This is a genuinely varied and hands-on coordinator role within a busy, project-driven construction and engineering business. You will be the operational backbone of the Sydney office, keeping travel running smoothly for engineers and site crews across Australia, managing office supplies, facilities, and providing procurement administration support.
This company has a family feel, professional but relaxed in culture, with a tight-knit team of 35 in the Sydney office. You will work closely with a range of personalities, from site supervisors to the Managing Director.

Corporate Travel Management
- Own the end-to-end travel function for the business, flights, and logistics for site crews, engineers
- Maintain and update the weekly travel and accommodation register, coordinating with project managers and site supervisors on changes and extensions
- Administer the CTM (Corporate Travel Management) platform, manage cost codes, employee profiles, airline memberships, invoice auditing, and credit management
- Monitor travel requests to ensure compliance with company travel policy
- Cross-check crew rosters to ensure all travel is confirmed and nothing falls through the cracks
- Liaise with the CTM account manager to keep company profiles current
- Manage the corporate Telstra account, issue SIM cards and devices to new starters, process international roaming requests
- Keep the phone register up to date in SharePoint
- Manage day-to-day office supplies — kitchen, stationery, including ordering, receiving, and unpacking
- Coordinate building management needs
- Coordinate annual office deep clean and end-of-year preparations
- Manage OfficeWorks account and electronic device procurement (phones, tablets, accessories)
- Collect, date-stamp, and distribute daily mail from multiple collection points
- Coordinate all courier bookings and outbound deliveries
- Monitor and manage the company's general inbox, forwarding to relevant departments and responding where appropriate
- Coordinate regular office events — fortnightly drinks, cultural celebrations (Bastille Day, Melbourne Cup, St Patrick's Day, Kris Kringle, etc.), and birthday acknowledgements
- Support the delivery of major events including the Christmas party, Company Day, and management dinners
- Coordinate meeting room bookings and assist with reception when visitors are on-site
- Provide general support to the MD as required
- Provide day-to-day procurement administration to the Procurement Manager
- Track and report on purchasing activity across office supplies, uniforms, and electronics
- Coordinate credit applications and support compliance with procurement processes
Experience:
- Minimum of 3 years in a similar role within the construction/engineering industry
- Background in construction, engineering, or a similarly fast-paced project environment is highly regarded
- Proven experience coordinating domestic and international corporate travel
- Experience administering travel management systems (CTM or similar)
- Demonstrated ability to manage telecommunications accounts, supplier relationships, and office procurement
- Experience processing invoices, reconciliations, and cost allocations
- You need to be organised with the ability to juggle competing priorities without dropping the ball
- Strong attention to detail VERY particularly important for travel compliance, invoice checking, and reconciliations
- Confident communicator, able to engage effectively with everyone from site supervisors to the MD
- Comfortable with SharePoint, Microsoft Office, and cloud-based administration platforms
